Annual Registration

The College registration year is from June 1 – May 31. All Registrants who wish to remain in practice must renew their certificate on an annual basis. This year, the Annual Registration deadline for 2008-2009 has been extended to June 7th. A late fee will apply for all registration renewals received after June 7th.

Online registration renewal is easy, quick and efficient. All your current data is displayed in your online form. The eReg Online renewal process is a matter of confirming information, answering the mandatory questions, and making the annual fee payment.

If you are unable to complete your annual registration online, print the blank form below. Fill in all sections of the form. The completed form and fee payment can be mailed or faxed to the College. A Guide is available to assist you with completion of the form.

Registrants who would like to cancel their registration, must send a written notice to the College, no later than June 1st, requesting that their certificate of registration be rendered inactive. This notice can be sent by mail, by fax - 416.214.0851, or by email - registration@coto.org.

FAQ’s about Registration Renewal and Maternity and/or Other Leaves of Absence

Q: I will be going on a one-year maternity leave, starting before June 1, 2008. Do I need to renew my registration certificate if I will not be working or using OT title while I am off? If I don’t renew my certificate will I have to take the certification exam again?

A: If your leave starts before June 1st and you will not be working or using title as an occupational therapist while on your leave, you are not required to be registered; therefore, you may choose to cancel your registration certificate. It is your responsibility to inform the College, in writing, of your intent to cancel your registration certificate before the June 1st renewal deadline.

To cancel your certificate of registration, send a written request, indicating that you will not be renewing your certificate of registration and confirm the date you ceased practicing. This notice can be sent by email to registration@coto.org or by fax to 416-214-0851. Cancelling your certificate of registration means that you will no longer be a member of the College and your certificate of registration will be rendered INACTIVE. You will need to re-apply to the College for a new certificate of registration prior to commencing work. (Note: you should allow at least two weeks for the re-registration process to be completed). The College maintains all Inactive files for 10 years. The re-application process is not difficult but it does involve completing the Registration Application Form, paying the re-instatement application fee of $42.00, the registration fee (prorated quarterly), providing documentation of liability insurance, and meeting any other registration requirements at that time (e.g. currency hours). You will not be required to sit the certification exam unless you have been away from the OT profession for 10 years or more.

Note: If you maintain registration you will be required to meet the conditions of your certificate including maintaining liability insurance and completing mandatory requirements of the QA program (although postponement of Competency Review and Evaluation may be necessary). By remaining Active, you will be able to use title during your leave and resume practice as soon as you wish without having to re-apply to the College and wait for confirmation of registration.

Q: I will be going on a one year maternity leave starting after June 1, 2008. Do I need to renew my registration certificate?

A: Yes, you are required to renew your registration. All OTs who are working as an occupational therapist on June 1st are required to renew their registration certificate even if they only intend to practice for a short period after June 1st. Under the OT Act, no one is permitted to use title or “hold themselves out” to be an occupational therapist if they are not registered with the College. All registration certificates expire on May 31st.

However, the College has introduced a new Refund Policy that may apply to Registrants who will cease work on or before Aug 31st. The College will reimburse half ($345.22) of the annual registration fee if the following conditions are met:
  1. Employment must end on or before August 31, 2008.
  2. Written application to the Registrar requesting the cancellation of your certificate of registration must be received before September 30, 2008.
  3. Registration wallet card and tax receipt must be returned to COTO. A new tax receipt will be issued.
Written proof of employment termination and date of termination must be received from the employer (where applicable).
