The College of Occupational Therapists of Ontario is a regulatory organization that oversees the practice of occupational therapists (OTs) in Ontario. Our job is to make sure the public receives safe, effective, and ethical care from OTs. We are a public resource.
Our mission is to protect the public and instill confidence and trust by ensuring occupational therapists are competent, ethical, and accountable. We are Canada’s largest regulator of occupational therapists, overseeing more than 7,500 OTs registered in Ontario.
About the role
We are looking for a collaborative and well-rounded Program Administrator to support our Professional Practice team. You will be participating in the development, administration, and reporting of the program requirements and emerging initiatives.
This role reports to the Manager, Practice Program and will be responsible for various accountabilities, including but not limited to those outlined below.
What you will be doing
- Providing administrative and communication support through preparing committee packages, monitoring/triaging correspondences (emails, voicemails), assisting with monthly reports, and coordinating invoices and billing.
- Supporting the College’s Outreach Program in collaboration with the Practice Team and other departments.
- Facilitating the data collection process by ensuring accurate, timely data entry and audit of information related to reporting requirements and program standards/policies.
- Assisting in the development and customization of Microsoft Dynamics 365 solutions and reports using Power Platform tools.
- Developing and monitoring surveys for data collection and public consultation purposes.
- Providing interim support to other College departments as needed during peak periods.
What you will need
Qualifications
- College diploma or University degree in Business, Health Administration/Science or other related fields
- Minimum 3 years’ experience in Administration or Customer Service
- Background in not-for-profit, healthcare, regulatory, or public sector is an asset
- Previous experience supporting boards, councils and/or committees is an asset
- Fluency in French is preferred
Competencies
- Strong interpersonal skills – experience working effectively as a team member with minimal supervision
- Excellent written and verbal communication
- Highly organized – able to manage sophisticated filing system and software
- Meticulous attention to detail and accuracy
- Able to quickly and accurately draft and proofread complex documents
- Proven time management skills – able to set priorities to effectively meet deadlines
- Familiar with formal meeting protocols, minute taking and special events planning
- Able to determine and maintain confidentiality of sensitive materials
- Advanced computer skills, including database and document management systems
- Familiarity with Microsoft Dynamics 365, Power BI or similar CRM/ERP platforms is an asset
- Flexible, positive, and comfortable adapting to change and fostering an environment that welcomes it
Compensation
The starting annual salary for this position is $56,392. Salary may vary depending on the level of experience.
